Getting Started
Set up your account and get your team onboard in minutes.

1 Register Your Account

  1. Go to the app URL and click Get started free.
  2. Enter your Full Name, Company Name, Email, and Password.
  3. Your account will be in Pending status until the platform administrator approves it.
  4. You will receive an Account Approved email — then you can log in.
Re-registration using a previously rejected email is blocked. Contact the platform administrator if needed.

2 First-Time Setup Checklist

The dashboard shows a Getting Started progress banner. Complete these in order:

  1. Company Profile — Name, registration number, address, employer category.
  2. Departments & Positions — Company Settings → Organization.
  3. Create Shifts — Define work schedules including Saturday hours.
  4. Add Employees — At least one active employee.
  5. Configure Payroll Settings — Payroll cycle, cut-off dates, policies.
  6. Run Your First Payroll — Payroll → Run Payroll.

3 Inviting Team Members

  1. Go to Team Invitations in the sidebar.
  2. Click Invite Member and enter the email address.
  3. Select a role: HR Manager, Finance, Supervisor, or Employee.
  4. The invitee receives an email with a link to set their password and join.

Employees
Add and manage your workforce — personal details, employment, salary, and statutory settings.

1 Adding an Employee

  1. Go to Employees → click Add Employee.
  2. Fill in Personal tab: Full Name, Employee No, IC/Passport, Nationality, Gender, Date of Birth, Email.
  3. Employment Detail tab: Department, Position, Employment Type, Joining Date, Basic Salary, Wage Type, Shift.
  4. Statutory tab: EPF/SOCSO/EIS numbers, PCB settings, number of children.
  5. Save the employee.
An employee with RM 0 basic salary cannot be saved.

Recurring Payroll Items

Attach fixed monthly allowances or deductions to an employee profile — they are included automatically in every payroll run.

  1. Open the employee profile → scroll to Recurring Payroll Items.
  2. Click Add Item and select a category (Allowance, Deduction, Overtime, etc.).
  3. Enter the amount and save.

Shifts & Work Schedules

  1. Go to Company Settings → Organization → Shifts.
  2. Create a shift with start/end time, break minutes, and off days.
  3. Enable Saturday Schedule if employees work Saturdays — this counts Saturday as a full working day for leave.
  4. Assign the shift in each employee's Employment Detail tab.

PCB (Tax) Configuration

  1. In the employee's Statutory tab, toggle Enable PCB Deduction.
  2. Enter the number of children for TP1 relief.
  3. The system uses the full LHDN MTD formula including EPF, SOCSO, EIS, and recurring tax deduction items as LP deductions.
Payroll
Generate, review, finalize, and distribute payslips for your employees.

1 Running Payroll

  1. Go to Payroll → click Run Payroll.
  2. Select the payroll period (month and year).
  3. Review each employee's breakdown: Basic, Allowances, Deductions, EPF, SOCSO, EIS, PCB, Unpaid Leave, Net Pay.
  4. Click Generate to save the run.
  5. Click Finalize to lock the run for the period.
Unpaid leave deduction = Basic Salary ÷ 26 × unpaid days taken.

2 Payslip Actions

  • View — Full payslip breakdown including PCB calculation details.
  • Download PDF — Download the payslip as a PDF file.
  • Email Payslip — Send directly to the employee's registered email.
  • Send via WhatsApp — Opens WhatsApp with a pre-filled message.

3 Editing an Approved Payslip

Only Super Admin can edit a finalized payslip.

  1. Open the payroll run → click Edit next to the employee's payslip.
  2. Adjust line items as needed.
  3. Save — all edits are logged with the editor's name and timestamp.

4 Missing Employee Backfill

  1. Open the past payroll run.
  2. Click Add Missing Employee.
  3. Select the employee — the system calculates their pay for that period.

5 Hourly & Daily Payroll

  1. On the payroll run page, click Enter Hours for hourly/daily employees.
  2. Input actual hours or days worked for the period.
  3. Pay is calculated as rate × hours/days worked.
Leave Management
Configure leave types, manage employee balances, and process leave applications.

Leave Types

  1. Go to Leave Management → Leave Types tab.
  2. Click Add Type — enter the name, Paid/Unpaid status, and annual entitlement days.
  3. Unpaid leave automatically triggers a salary deduction in payroll.

Applying for Leave

  1. Go to Leave Management → Applications → click Apply Leave.
  2. Select Employee, Leave Type, Start Date, End Date.
  3. The working days preview updates automatically — it is shift-aware (respects the employee's rest days, including Saturday if they have a Saturday schedule).
  4. Submit the application.

Approving & Rejecting Leave

  • Approve — Deducts days from the employee's balance. Employee receives an approval email with full details.
  • Reject — Optionally enter a reason. No balance is deducted. Employee is not emailed on rejection by default.

Amending Leave (HR / Super Admin)

  1. Click Amend on a pending or approved application.
  2. Edit dates, leave type, or reason. Days recalculate automatically.
  3. Choose Save Changes or Save & Approve.
  4. For previously approved applications, the old balance is restored then the new balance is deducted.
  5. Employee receives an email showing the amended details.

Cancelling Leave

  • Pending or future approved leave can be cancelled. Balance is restored automatically.
  • Employee receives a cancellation email if the leave was previously approved.
Past approved leave is permanently locked. Once the end date has passed, no one can cancel, amend, or delete the record — even Super Admin. This protects historical data from manipulation.

Attendance
Track employee check-in/out via manual grid, QR scanning, or self check-in.

Manual Attendance Grid

  1. Go to Attendance → Attendance Grid tab.
  2. Select the employee and month.
  3. Click any cell to enter or edit check-in/out times.
  4. Days are classified automatically: Present, Absent, Rest Day, Public Holiday, OT.
  5. Saturday classification is shift-aware — half-day shifts are detected automatically.

QR Scanner (QR Attendance Module)

  1. Go to Attendance → QR Scanner tab.
  2. The HR/Supervisor screen shows a live camera scanner.
  3. Employees scan their personal QR badge — check-in or check-out is recorded automatically.
  4. Print employee QR badges using the Print Badges button.

Static QR Self Check-In

  1. Go to QR Attendance in the sidebar → Static QR Setup.
  2. Generate and print your company's unique static QR code — display it at the entrance.
  3. Employees scan with their phone and enter their PIN to check in/out.
  4. PINs are set in each employee's profile (Employment Detail tab).

Activity Log

Go to Attendance → Activity Log tab for a chronological view of all check-in/out events for the selected month, displayed in a horizontal calendar grid.

Attendance & Payroll Integration

When a payroll run is generated, attendance records are read automatically to:

  • Calculate overtime hours beyond the standard shift hours.
  • Add OT line items to the payslip for monthly and hourly employees.
  • Pre-fill worked hours for hourly/daily employees.
Loans
Manage staff loans and salary advances with automatic payroll deductions.

1 Creating a Loan Application

  1. Go to Loans → click New Loan.
  2. Select the employee and loan type: Staff Loan (structured repayment) or Salary Advance (recovered next cycle).
  3. Enter the principal amount, number of installments, and start period.
  4. Submit for approval.

2 Approving a Loan

  1. HR Manager or Super Admin clicks Approve on a pending loan.
  2. The employee receives an approval email with full loan details.
  3. Monthly installment deductions are automatically added to payroll from the start period.

3 Loan Repayment Tracking

  • Monthly deductions appear as recurring payroll line items automatically.
  • The loan record tracks balance remaining, amount paid, and installments completed.
  • Once fully repaid, the loan is marked as Settled.

Resend Approval Email

If the employee did not receive their loan approval email, click Send Email on the loan detail page to resend it manually.

Statutory Forms
Generate EPF, SOCSO, EIS, PCB, Form E, and Form EA for submission to Malaysian statutory bodies.

EPF — Borang A

  1. Go to Statutory Forms → EPF.
  2. Select the contribution month.
  3. View employee and employer EPF contributions breakdown.
  4. Download Excel for manual submission, or TXT for EPF i-Akaun bulk upload.

SOCSO — Borang 8A & EIS

Same flow as EPF. Select the month, view contributions, and download Excel or bulk upload TXT file.

EIS is not applicable to foreign workers.

PCB — CP39

  1. Go to Statutory Forms → PCB / CP39.
  2. Select the month.
  3. View each employee's PCB deduction calculated under the LHDN MTD formula.
  4. Download the CP39 text file for LHDN e-PCB submission.

Form E (Borang E)

Annual employer declaration to LHDN. Select the year, review aggregate figures, and download the completed Form E as a PDF.

Form EA

Annual income statement issued to each employee. Select the year, click any employee, and download their individual Form EA PDF for distribution.

Statutory Payments
Track whether monthly EPF, SOCSO, EIS, and PCB payments have been submitted.

1 Confirming a Payment

  1. Go to Statutory Payments.
  2. The dashboard widget shows upcoming deadlines with a countdown.
  3. Click Confirm Payment next to each statutory body for the month.
  4. Enter the payment date and reference number — saved for audit.

2 Payment Reminders

The system sends automatic email reminders before statutory payment deadlines. Reminder schedules are configured by the platform administrator.

The dashboard always shows your current payment status and days remaining for each statutory body.
Reports
Generate and export payroll, statutory, and financial reports for any period.

Payroll Summary Report

Complete summary of gross pay, allowances, deductions (EPF, SOCSO, EIS, PCB, Other), and net pay for all employees in a selected period or date range. Downloadable as PDF or Excel.

Statutory Contributions Report

Detailed EPF, SOCSO, EIS, and PCB contributions per employee per period. Used for internal reconciliation before submitting to statutory bodies.

Bank Payment / GIRO Report

Lists each employee's net pay with bank account details — formatted for submission to your bank for salary disbursement. Includes Gross, Deductions, and Net Pay columns.

Cost Analysis / Trends

Visual and tabular breakdown of total payroll cost over multiple periods. Useful for budget planning and headcount cost tracking.

Settings & Configuration
Configure your company profile, organization structure, payroll policies, and modules.

Company Settings

  • General — Company name, registration number, address, phone, logo.
  • Employer Info — Employer category (SME / Large / Government), employer status, CP8D method.
  • Organization — Departments, positions, locations, shifts.
  • Statutory — EPF, SOCSO, EIS, PCB employer reference numbers.

Organization Structure

Under Company Settings → Organization, manage: Departments, Positions, Locations, and Shifts.

For shifts: set standard hours, break minutes, off days, and optionally a Saturday schedule (separate start/end time for Saturday working days).

Saturday with a schedule counts as a full working day (1 day) for leave purposes.

Payroll Settings

  • Payroll Cycles — Monthly, bi-weekly, or custom cycles with cut-off dates.
  • Payroll Policies — Pro-rated salary, overtime eligibility, rounding rules.
  • Payroll Items — Master list of 70+ Malaysian-standard salary components across categories: Allowance, Deduction, Overtime, Statutory, Tax Deduction, Benefit-in-Kind.

Admin Panel
Platform-level management for administrators only. Not accessible to company users.

Managing Client Accounts

  • Registrations — Approve or reject new company registrations.
  • Companies — View all clients, change status, update contact email, resend verification.
  • Create Client — Manually create a company account and send an onboarding email.
Rejected emails are blocked from re-registering.

Platform Settings

  • App name, logo, contact email and phone.
  • Powered By branding and SEO meta tags.
  • Privacy Policy content (rich text editor).

Content Management

  • Pages — Create and manage public pages via rich text editor.
  • FAQs — Add frequently asked questions for the public FAQ page.
  • News & Updates — Publish articles visible on the What's New page.

Security Logs

Audit log of security-relevant events: new registrations, blocked re-registrations, login attempts, account deletions and purges.

Account Deletion & Purge

  1. When a company requests deletion, a 7-day cooling-off period begins.
  2. After 7 days, the platform admin can purge the company and all its data.
  3. The purge is logged in Security Logs with the admin's name and timestamp.
Employee Portal
Self-service access for employees to view their own payslips, leave, and attendance.

Portal Dashboard

Shows a summary of the current month's payslip status, pending leave applications, and today's attendance record.

My Payslips

View and download all personal payslips. Each payslip shows basic pay, allowances, deductions (EPF, SOCSO, EIS, PCB, loans, unpaid leave), and net pay.

My Leave

  • View leave balance by type.
  • View status of all leave applications (pending / approved / rejected / cancelled).
  • Apply for leave — selecting dates shows a working days preview.

My Attendance

View the personal attendance grid for any month — shows check-in/out times and day classification (Present, Absent, Rest Day, Public Holiday, OT).

Employees log in with the credentials set during their invitation. The portal is separate from the HR admin interface — employees only see their own data.
